Connect Microsoft 365

Alongside Gmail, you can connect a Microsoft 365 mailbox (Outlook) to Flino, for sending your offer and follow-up emails and receiving replies. You find it under Settings → Email on the Microsoft 365 mailbox card, right below the Gmail card. During onboarding, you connect Microsoft 365 in step 5 via the Microsoft 365 / Outlook tile.

Prefer Gmail? See Connect Gmail and Google.

  • A Microsoft 365 work or school (business) account. Personal Microsoft accounts (outlook.com, hotmail.com, live.com) are not supported.
  • Depending on your organisation, administrator consent for the Flino app may be required. If so, the card shows the status “Administrator consent required”. A Microsoft 365 administrator of your organisation then has to approve the app.
  1. Open Settings → Email and, on the Microsoft 365 mailbox card, click Connect Microsoft 365.
  2. Sign in to Microsoft with your work account (or select it).
  3. Confirm the requested permissions. Microsoft lists, among others, reading and sending email and access to your calendar. Flino uses the calendar only for the availability check. If your organisation requires admin approval, obtain it.
  4. Back in Flino, the card shows the status Connected along with Connected mailbox, Account type, Tenant, and Last updated.
  • Sends offer and follow-up emails through your Microsoft 365 mailbox
  • Receives & detects replies: incoming replies are detected and classified, and active sequences pause automatically (just like with Gmail)
  • Category import: Outlook emails you assign the “Flino” category to appear in the inbox for assignment. You create the category yourself in Outlook the first time you assign it.
  • Outlook calendar: availability check (free/busy) only, in the reply composer. You find the Outlook Calendar card under Settings → Integrations. Creating events or Teams links via Microsoft is not available yet.

Flino always sends new offers through exactly one mailbox. The mailbox you connect first becomes your organization’s default sending mailbox. If you connect the other one afterwards, Flino asks first, for example “Send via Outlook 365 from now on?” The dialog shows what the switch does:

  • New offers are sent via the newly connected mailbox.
  • Offers already sent stay on the mailbox they went out from. Their follow-ups and reply detection keep working there.
  • If you disconnect the previous mailbox later, the sequences still running through it stop, and replies to them are no longer detected.

Yes, use Outlook 365 (or Yes, use Gmail) confirms the switch, Cancel leaves everything as it is. Without this confirmation, Flino does not connect the second mailbox; a silent switch never happens.

  • Attachments: through Microsoft 365, at most 3 attachments of max. 3 MB each.
  • One mailbox per user.
  • Placeholders: if the subject or text still contains an unfilled placeholder such as {{contact_first_name}}, Flino refuses to send, just like with Gmail. Replace it and send again.
  • Renew connection: if the connection expires, the card shows the status “Renew connection”. Reconnect the mailbox via Connect Microsoft 365.
  • Disconnect: use Disconnect on the card and confirm with Disconnect in the dialog “Disconnect Microsoft 365?”. After that, no emails are sent through this mailbox. Running sequences pause with the reason “Mailbox not connected” as soon as their next email is due. You can reconnect at any time.
