Acceptance link for online sign-off
The acceptance link is Flino’s main conversion lever. Instead of “please confirm by email”, your customer gets a simple link to a public acceptance page where they can accept or decline the offer with one click.
How the acceptance link is created
Section titled “How the acceptance link is created”Once an offer exists, Flino can create an acceptance link for it. There are two ways:
Automatically when sending
Section titled “Automatically when sending”In Settings → Email you enable the switch Insert online acceptance link automatically. From then on, Flino includes the link in the AI draft of every first email.
Manually from the offer
Section titled “Manually from the offer”- Open the offer.
- Click Create offer link.
- Use Copy link to put the URL into your clipboard so you can paste it anywhere — for example into your own email or a chat.
What the customer sees
Section titled “What the customer sees”When your customer clicks the link, a public acceptance page opens. No login required — the link is protected by a one-time token.
On the page, your customer finds:
- Your logo or your organisation name
- The label “Created by [sender name]” — pulled from your workspace settings (Settings → Organisation → Sender name), not from your personal profile. If empty, the fallback “Provider” shows.
- A card with offer title, offer number, amount, and valid until
- Buttons for Offer (PDF) and, if applicable, Terms
- Action buttons: Accept offer, Decline, and — after expiry — Request extension
If the sales room is activated for your organisation, your customer additionally sees a welcome, videos, documents, and FAQ on the same page.

Binding acceptance
Section titled “Binding acceptance”- The customer clicks Accept offer.
- Modal “Accept offer?” with the note that this action cannot be undone.
- If you uploaded terms, the required checkbox I have read and agree to the terms and conditions must be ticked.
- Click Yes, accept.
What Flino does next:
- Set status to “Won”, with the acceptance date
- End any active sequence (reason: offer accepted)
- Add an event to the offer’s activity timeline
- Show a confirmation to the customer on the page: “Thank you. Your binding acceptance has been recorded.”
Acceptance with name and signature
Section titled “Acceptance with name and signature”The full explanation with all modes, required fields, and the legal framing is on the Electronic signature page.
How formal the acceptance is, you configure in Settings → Email → Acceptance & signature. Four levels are available:

In addition, you can require company and role as mandatory fields; your customer can always provide an email address voluntarily. On the page they see the acceptance statement “I bindingly accept the present offer.” and the note “This acceptance is made as a simple electronic signature. No identity verification takes place.” The accept button only becomes active once all required fields are filled. Signing happens right in the browser, with mouse, trackpad, or finger.
Acceptance confirmation as PDF
Section titled “Acceptance confirmation as PDF”If the confirmation email to the customer is enabled in the same settings, your customer automatically receives an email after acceptance with the acceptance confirmation as a PDF, including name, time, and the accepted statement. Regardless of that, the acceptance is valid the moment your customer confirms.
Decline
Section titled “Decline”With Decline + Yes, decline the customer signals they don’t want the offer:
- Status set to “Lost”
- Sequence ended (reason: offer declined)
Request extension
Section titled “Request extension”The button Request extension appears only after the valid until date has passed. It is not visible before — there is no “expiring soon” hint, just a clear option once the offer has expired.
- The customer clicks Request extension.
- Modal with confirmation: “The provider will be notified of your request and can extend the validity of the offer.”
- You receive a confirmation email. The event appears in the offer’s activity timeline.
An expired offer can no longer be accepted unless you, the provider, extend the
valid untildate. Decline and Request extension stay available.
Questions directly via the acceptance page
Section titled “Questions directly via the acceptance page”Your customer does not have to write a separate email for questions: via Send message on the acceptance page, they ask directly. You see the question in Flino on the offer in the Messages card (it appears as soon as the first message arrives) and reply there. Your customer sees your answer on their next visit to the acceptance page.
Upload terms
Section titled “Upload terms”Optionally, you can upload your terms as a PDF in Flino so they are linked on the acceptance page and the required checkbox is enforced.
- Go to Settings → Email and find the Terms section.
- Upload your PDF.
- The acceptance page now shows the Terms button and the required checkbox.
If you don’t upload terms, the required checkbox simply doesn’t appear — acceptance still works.
What happens to old links?
Section titled “What happens to old links?”Each offer has one active acceptance token. Once a decision (accept or decline) has been made, the link only shows a confirmation page (“Decision – [title]”) with the original date.
Old link after switching to a new offer version
Section titled “Old link after switching to a new offer version”Acceptance links are version-bound — they are coupled at creation time to the version that was active then.
The existing link keeps showing the version it was created with. When you activate a new offer version, the old link stays technically valid but continues to display the old data (title, amount, validity, PDF). Create a new link for the new version.
Locale of the acceptance page
Section titled “Locale of the acceptance page”The page is shown in the language stored for the contact (German or English). If nothing is stored, Flino falls back to the browser language and finally to German.
- Logo: if you want your customer to see your logo, store it in your workspace settings (Settings → Organisation) or in the imprint form.
- Sender name: read exclusively from the workspace settings (Settings → Organisation → Sender name). Adjust the value there directly — profile changes have no effect on the acceptance page.
