Meeting card — detect meetings from replies
The meeting card is an area in the reply composer that appears as soon as the AI detects a meeting suggestion in the incoming reply. The card shows the detected slots, checks your calendar availability, and lets you create the event with one click.
Where the meeting card appears
Section titled “Where the meeting card appears”The card lives inline in the reply composer (reply composer sheet) — above the tabs for template, AI suggestion, and free text. As soon as you click Reply now on a reply with a meeting reference, it shows up at the top of the sheet.
There is no separate “meeting card” component outside the composer — so it doesn’t appear in the pipeline view or on the offer detail page on its own. To see the card, open the composer.

When does it appear?
Section titled “When does it appear?”It shows up as soon as a reply contains a meeting suggestion with concrete slots. Examples:
- The customer suggests one or more concrete days/times
- The customer asks about a concrete date (e.g. “Thursday 2pm works for me”)
If no slot is detected, the card stays hidden.
Badge on the meeting card
Section titled “Badge on the meeting card”The card itself shows exactly one badge: “Uncertain” — it appears when the AI was uncertain about the detection (e.g. the slot was phrased loosely). Worth a second look at the email text before you create the event.
The pipeline view and the action card on the offer show separate intent badges like Call slot, Call requested, or Acceptance + call. Those belong to the offer’s recommendation logic — not to the meeting card in the composer.
What you can do
Section titled “What you can do”What the card actually offers depends on the availability check in your Google Calendar.
While checking
Section titled “While checking”While availability loads, you see a spinner with the hint “Checking availability”.
Slot is free
Section titled “Slot is free”When the suggested slot is free in your calendar, a button “Create event” appears.
- Click Create event to open a dialog with pre-filled values (title, date/time, duration, optionally attendees).
- Confirm — the event is created in your connected Google Calendar.
- Toast “Event created successfully”.
Slot is busy
Section titled “Slot is busy”If the suggested slot is taken, you are not taken into the confirm dialog. Instead, the card lists alternative slots as outline buttons.
- Clicking an alternative slot adopts it — the composer adds the new suggestion to your reply, so you can immediately propose the new time to the customer.
- There is no separate “Send confirmation” or “Edit” action on the card. Any tweaks happen in the composer body.
Create the event with a customer invite
Section titled “Create the event with a customer invite”When you create the event via Create event, you can add the customer as an attendee. Google Calendar then sends an event invitation by email to the customer automatically — you don’t need to write a separate confirmation. The invitation lands in their inbox like any other calendar invite, with accept/decline buttons.
Prerequisites
Section titled “Prerequisites”- Google Calendar connected — see Connect Gmail and Google. Without the connection, Flino can neither check availability nor create an event.
- Active reply in the composer — the card only triggers there, not standalone.
Common error cases
Section titled “Common error cases”| Problem | Fix |
|---|---|
| The card doesn’t appear despite a meeting mention | The AI didn’t find a clearly parsable slot — write the reply manually with a concrete time |
| ”Checking availability” hangs | Verify the calendar permission in Settings or reconnect |
| ”Failed to save” when creating the event | Reconnect calendar and check permissions |
| Event doesn’t appear in the calendar | Check the permission in your Google account — Flino needs write access |
