Meeting card — detect meetings from replies
The meeting card is an area in the reply composer that appears as soon as Flino detects a meeting suggestion in the incoming reply. The card shows the detected time, checks your calendar availability and lets you create the event right away.
Where the meeting card appears
Section titled “Where the meeting card appears”The card sits in the reply composer above the Manual, AI suggestion, Sequence and Template tabs, with the heading Meeting proposal detected. You see it when you click Reply now on a reply that mentions a meeting (see React to replies).
There is no meeting card outside the composer, so neither in the pipeline nor directly on the offer page. To see it, open the composer.
When does it appear?
Section titled “When does it appear?”Flino looks for concrete time references in the reply, i.e. a day with a time, such as “Thursday 2pm works for me”. Relative references such as “tomorrow” are resolved against the day the email arrived. The card shows the detected time in the email’s own wording, with the date and time next to it.
If Flino finds time references but no clear meeting, the same spot says “No clear meeting proposal detected.” and lists the text passages it found with the reason they did not fit. Without any time references, nothing is shown.
Badge on the meeting card
Section titled “Badge on the meeting card”The card has exactly one badge: Uncertain. It appears when the detection was not clear-cut, for example with vague wording. Then it is worth a second look at the email before you create the event.
The Flino recommendation card on the offer page shows its own badges such as Call slot, Call requested or Acceptance + call. They belong to the recommendation for the offer, not to the meeting card in the composer.
Check availability
Section titled “Check availability”Flino checks the suggested time (one hour) in your calendar: in Google Calendar or, if the offer was sent via Outlook, in the Outlook calendar. While it checks, the card says “Checking calendar…”.
Slot free
Section titled “Slot free”If the time is free, the card shows Slot free and the Create event button.
Slot busy
Section titled “Slot busy”If the time is taken, the card shows Slot busy and, under Alternative slots:, up to two free times as buttons, on the same day first, otherwise on the following days.
- Clicking an alternative puts that time into the event form and shows Create event.
- Your reply text does not change. You propose the alternative to the customer in your reply, by hand or with the AI suggestion tab.
Check not possible
Section titled “Check not possible”If Flino cannot query the calendar, the card says “Calendar check not possible” with the Reconnect calendar button. It opens Settings → Integrations.
Create the event
Section titled “Create the event”- Click Create event. The form shows Date & time (pre-filled with the detected time) and Duration (30, 45 or 60 min, 30 by default).
- Optionally switch on Invite contact with the contact’s email address.
- Click Create event.
Flino creates the event in your Google Calendar with the title “Call: [contact] – [offer title]” and a reminder 30 minutes before. Toast “Event created successfully”. If Invite contact is on, Google Calendar sends the customer an invitation with accept and decline buttons, like any calendar invite. You do not need to write a separate confirmation.
Flino can currently create events only in Google Calendar. With an Outlook calendar, the availability check works, creating events does not.
AI suggestion with the meeting
Section titled “AI suggestion with the meeting”If you create a draft in the AI suggestion tab, the AI receives the detected time, whether it is free and, if it is busy, the alternatives. That way the draft can confirm the time or suggest one of the free slots.
Prerequisites
Section titled “Prerequisites”- Calendar connected: Google Calendar, see Google Calendar. For Outlook, see Connect Microsoft 365. Without a connection, Flino can neither check availability nor create an event.
- Reply in the composer: the card only exists there.
Common error cases
