Support chat "Ask Flino"
Flino has a built-in assistant “Ask Flino” that answers questions about the product and about your own offers — straight from the app, without you having to dig into docs or open a support ticket. The text chat is included in all plans and does not use any quota.
Where to find the chat
Section titled “Where to find the chat”The Ask Flino button sits at the top right of the top bar, next to the notifications; on small screens it only shows a speech-bubble icon. There is also a round button at the bottom right. Clicking either opens the chat window at the bottom right. At the top of the window you find New chat (plus icon), the Conversation history (clock icon), and the X to close it.
When it opens, the chat greets you with “Hi — I can see your offers and follow-ups.” Below that are example questions matching the page you are on, and sometimes a note about your account, such as “You have 2 offers with customer replies you should still react to.” Clicking an example question asks it right away.
What the chat can do
Section titled “What the chat can do”You can ask about any area of Flino, for example:
- “How do I activate a sequence on an offer?”
- “What does the pause reason ‘Information missing’ mean?”
- “Where do I find the acceptance link for an existing offer?”
- “How does the referral programme work?”
For its answers, Ask Flino draws on several sources:
- Your current data: offers, follow-ups and the queue, customer replies, the connection status of your mailbox, and your plan. If you are on an offer page, the chat also knows that offer’s status, follow-up state, latest events, and quality rating.
- Reviewed help articles from the Flino team on common questions.
- This documentation: if an answer relies on doc pages, links to them appear below it under Sources:.
- Built-in help knowledge, for example on follow-up sequences, the mailbox connection, and offer statuses.
Where it fits, an answer shows a button that takes you straight to the right place, such as Open pipeline or Open offer. A message can be up to 800 characters long.
Insights about your own offers
Section titled “Insights about your own offers”Beyond product knowledge, the chat gives concrete assessments of your data:
- “What is the next sensible step on the offer for Mustermann GmbH?”
- “Why was no follow-up sent?”
- “Which offers in my pipeline need attention today?”
What the chat suggests is an assessment. Without AI actions it only reads; carrying it out stays with you.
Running actions
Section titled “Running actions”With AI actions (Pro and Team), Ask Flino also takes care of tasks for you: pausing, resuming, postponing, starting, or ending sequences, changing the offer status, adding notes, and sending reply emails. Flino puts a card into the chat for this; nothing runs until you click Run. If you like, reversible actions can run automatically. Everything else is on the page AI actions and approvals.
Voice mode
Section titled “Voice mode”In voice mode you talk to Ask Flino instead of typing. It is included in Pro and Team and requires activation for your organisation, which Flino takes care of. It is available in current browsers that support microphone access.
- Click Voice mode at the bottom of the chat window. The first time, your browser asks for microphone access.
- As soon as “I’m listening …” appears, speak your question. While you speak, you see the recognised text.
- When you pause, the display switches to “Flino is thinking …”. The answer appears as text in the chat and is read aloud (“Flino is speaking …”).
- Interrupt stops the spoken reply so you can keep talking. End turns off the microphone.
While Flino is thinking or speaking, the microphone is off; afterwards Flino listens again. Actions you trigger by voice appear as cards just like in the text chat.
Quota: the time Flino spends listening counts against your plan’s voice minutes; voice mode shares this quota with dictation in Flino (see Billing). When it is used up, the chat says “You’ve used up your voice minutes for this month. They reset next billing cycle — the chat keeps working via text.” There is also a daily limit per organisation; once it is reached, voice mode works again the next day.
Data processing: speech recognition and speech output run on the EU servers of the speech service Deepgram. Flino does not store audio recordings and has opted out, for all requests, of Deepgram using them to improve its models. The recognised text lands in the conversation history like a typed message.
Feedback and history
Section titled “Feedback and history”Below every answer you can choose Helpful or Not helpful. For “Not helpful”, the chat asks for the reason, such as Factually wrong, Outdated, or Wrong link / wrong navigation.
You find your conversations under Conversation history. They are deleted 30 days after the last message.
What the chat does not do
Section titled “What the chat does not do”- Change nothing without your consent. Without AI actions the chat changes nothing in your offers, contacts, or sequences. With AI actions, something only happens after your click, unless you turned on automatic execution for reversible actions.
- No account support. Topics like cancellation, invoice corrections, or privacy requests still go to human support directly.
When to ask the bot — and when to ask support
Section titled “When to ask the bot — and when to ask support”| Question | Source |
|---|---|
| ”How does feature X work?” | Ask Flino |
| ”My sending fails, what to do?” | Ask Flino for diagnosis hints; for deeper issues, contact support |
| ”Can I change my invoice?” | Support |
| ”My account is locked.” | Support |
| ”How is data privacy handled?” | Support (or the privacy page) |
If the chat gets stuck, it shows “For complex issues:” below the answer with the link Contact support, which opens an email to [email protected].
Privacy
Section titled “Privacy”What you type or say in the chat is sent to an AI model to generate the answer and kept in the conversation history for 30 days. So don’t use it for sensitive personal data that isn’t already in your Flino workspace.
