Send an offer by email
Flino sends offers through your connected mailbox – Google Workspace or Microsoft 365 Business — the email comes from your real address, with your signature, in your name.
Prerequisites
Section titled “Prerequisites”Before you can send, Flino checks four things:
- Contact assigned — no recipient, no send
- Email address on the contact — otherwise Flino opens the Email address required dialog
- Salutation on the contact — otherwise the Salutation missing dialog opens (you can also choose Send anyway)
- Gmail connected — otherwise a banner Sending paused — Gmail connection required
How to send
Section titled “How to send”- Open the offer from the pipeline or via Offers → click the offer.
- Click Send offer.
- Flino shows a dialog with:
- Recipient (name + address)
- Sender (from your organisation settings)
- Subject and body as a pre-filled standard text matching the offer title and salutation
- If you don’t want to write the text yourself, click Suggest AI text — Flino generates a draft based on your AI writing style and the offer data. The AI draft replaces the standard text in the editor.
- Edit subject and body as needed.
- Click Send.
The AI draft is not generated automatically when the dialog opens — it costs one credit and only happens on your explicit click. You can also tweak the standard text without AI and send.
Toast “Offer sent successfully!” — the send badge switches to Sent, the send date is recorded.

Insert the acceptance link automatically
Section titled “Insert the acceptance link automatically”In Settings → Email you can enable the switch Insert online acceptance link automatically. Then the AI draft for the first email contains the acceptance link by default.
PDF attachment
Section titled “PDF attachment”The PDF attachment is on by default in the send dialog. The PDF is only actually attached if a file is linked to the offer:
- PDF available → attached automatically; the toggle is on, you can disable it.
- No PDF available → a hint appears in the send dialog. Sending is only possible after explicit opt-in (“Send without PDF”).
You can add, replace, or remove the PDF on the offer detail page in the Attach PDF section.
Terms (T&Cs) as a second attachment
Section titled “Terms (T&Cs) as a second attachment”If you want to attach your terms to every offer email, you can control this per send with one click:
- Upload once. Go to Settings → Email and upload your terms as a PDF in the Terms area.
- Decide per send. The send dialog then shows an extra toggle to attach the terms to this specific email. The default is off — you enable it deliberately.
- Send as usual — the terms land as a second attachment next to the offer PDF.
Without uploaded terms, the toggle is hidden; without enabling it, nothing is attached.
Send a test email to yourself
Section titled “Send a test email to yourself”Before you send to a real customer, you can send a test email to yourself:
- Go to Settings → Integrations → Gmail mailbox area.
- Type your email address.
- Click Send.
Toast “Test email sent successfully!” and the email is in your inbox.
What happens after sending
Section titled “What happens after sending”- If you activate a follow-up sequence afterwards, Flino sends the follow-up emails automatically.
- Your customer’s replies land in the activity timeline of the offer; an active sequence pauses.
- If the customer clicks the acceptance link and confirms, the status switches to Won.
