Connect Pipedrive
With the Pipedrive integration you keep working your deals in Pipedrive. When a deal reaches the stage you chose in Flino, Flino takes it over as an offer and handles the follow-up. What happens in Flino goes back to Pipedrive: when you send the offer from Flino, win it, or lose it, Flino records that on the deal.
Requirements
Section titled “Requirements”- A Pipedrive account.
- The role owner or admin in your Flino organisation. Everyone else sees “Only organization admins can manage the Pipedrive connection.” in the card.
The integration is included in every Flino plan. Every offer taken over from Pipedrive uses a slot in your offer quota, just like one created in Flino (see Billing).
Connect
Section titled “Connect”- Go to Settings → Integrations, card Pipedrive.
- Click Connect with Pipedrive.
- Pipedrive opens its sign-in page. Sign in, pick the right company if you have several, and allow Flino access. Flino never sees a password.
- You land back in Flino. The card shows Connected and, under Account, the name of your Pipedrive company.
- Under Settings, choose the Pipeline and the Import stage and click Save. Without an import stage Flino takes over no deals.
Which permissions Flino asks for
Section titled “Which permissions Flino asks for”| Permission in Pipedrive | What Flino needs it for |
|---|---|
| Deals: full access | read deals, products, files, pipelines and stages; write notes; set status and stage |
| Contacts: read only | take over the deal’s contact person and organisation |
| Users: read only | names for the deal owner picker |
| Activities: full access | for the Pipedrive history coming soon |
| Emails: read only | for the Pipedrive history coming soon |
Flino asks for activities and emails now so you don’t have to reconnect later. It reads them only once the history is switched on for your organisation; we will tell you beforehand. Flino does not ask for admin rights. Pipedrive requires them for instant notifications, but they would also allow changing pipelines, fields, and users.
Reconcile
Section titled “Reconcile”Flino reconciles with Pipedrive every 15 minutes. Reconcile now fetches new and changed deals right away. The card shows Last transfer and Last reconcile.
What Flino takes over from Pipedrive
Section titled “What Flino takes over from Pipedrive”Flino takes over an open deal of the chosen pipeline as soon as it reaches the import stage or a later one. Flino does not import existing deals when you connect: deals already in that stage arrive after their next change in Pipedrive.
From each deal Flino takes over:
- the title in the format
Company – Date, for example “Panther GmbH – 28.10.2026” (without a company, the person’s name, otherwise the deal title) - the deal’s amount and currency. Pipedrive does not say whether a deal value is net or gross, so Flino shows it without a price basis.
- contact and company: the deal’s person with their first email address and phone number, the organisation with name and address. Flino matches existing contacts and companies and only fills empty fields, it never overwrites anything.
- the offer PDF, if one is attached to the deal. Flino first takes a PDF with “Angebot”, “Offer”, “Quote”, “Proposal” or “Kostenvoranschlag” in its name, otherwise the newest PDF. Files such as terms and conditions, privacy, or cancellation policies are never taken.
- the deal’s products, if there is no offer PDF (see below).
The offer appears in Flino as a draft. EUR, USD, and CHF are supported; Flino does not take over a deal in another currency, the job then shows as failed.
Offers without PDF: products and Salesroom
Section titled “Offers without PDF: products and Salesroom”If no offer PDF is attached, the deal’s product list is the offer. Your customer sees a table in the Salesroom with item, description, quantity, unit price, discount, sum, plus net, VAT and gross, and “monthly” or “yearly” for recurring amounts. They can print the offer as a PDF from there. The acceptance record captures exactly the items they accepted.
When you send from Flino, Flino assigns an offer number (running, prefix in your organisation settings) and sets Valid until. Both appear in the sent note on the deal.
If the deal has no products, the send dialog tells you: your customer then sees only the total. Products you add to the deal arrive at the next reconcile.
Changes in Pipedrive
Section titled “Changes in Pipedrive”If a deal that was taken over changes in Pipedrive, Flino updates amount, contact and products as long as you have not sent the offer from Flino yet.
After sending, Flino no longer takes over product changes. Your customer keeps seeing the version you sent in the Salesroom. If you change products or prices in Pipedrive afterwards, those changes no longer reach Flino. There is currently no way to take over an already sent offer again with changed products from Pipedrive.
If a deal that was taken over is won or lost in Pipedrive, Flino pauses the follow-up, adds a note to the offer, and notifies you in the app. You set the status in Flino yourself; Flino does not change it.
Deal owner
Section titled “Deal owner”If several people work in the same Pipedrive and each has their own Flino workspace, each connects Pipedrive in their workspace and picks themselves under Settings → Deal owner. Flino then takes over only new deals of that owner. All (default) takes over every deal. Offers already taken over keep being updated, even if you change the filter later. Load names from Pipedrive reads the users of your Pipedrive company.
What Flino writes back to Pipedrive
Section titled “What Flino writes back to Pipedrive”| In Flino | In Pipedrive |
|---|---|
| Offer sent | A note on the deal with time and recipient, for offers without PDF also with offer number and “valid until”; if set, the deal moves to the stage after sending (never backwards) |
| Offer won | The deal is marked won, plus a note |
| Offer lost | The deal is marked lost, with the reason from Flino as lost reason, plus a note |
The notes start with “Flino:”. Flino writes no notes for individual follow-up emails. Flino does not change an archived deal; the job then shows as skipped.
Test mode
Section titled “Test mode”Every new connection starts in test mode. Flino then reads from Pipedrive but writes nothing back. Under Recent activity the affected jobs carry Test mode – not sent. When everything works as you expect, switch Test mode off under Settings and click Save.
Settings
Section titled “Settings”- Pipeline and Import stage: where Flino takes deals from (required)
- Stage after sending: where Flino moves the deal after sending, default Don’t move
- Deal owner: All (default) or a name, see above
- Test mode: see above, on by default
Recent activity
Section titled “Recent activity”Recent activity shows the last 20 jobs between Pipedrive and Flino with their status. Skipped means Flino deliberately did not take over or change the deal. If a job is Failed or Given up, bring it back with Retry.
Test, renew, disconnect
Section titled “Test, renew, disconnect”- Test connection checks whether Pipedrive still accepts access.
- If the card shows Connection broken, reconnect with Reconnect. This happens, for example, when Flino has not accessed Pipedrive for 60 days.
- Disconnect deletes the stored credentials. Offers already taken over stay in Flino, no new ones arrive. If you remove Flino from the installed apps in Pipedrive, Flino disconnects your connection too; your colleagues’ connections stay.
Limits
Section titled “Limits”- No instant notification, Flino reconciles every 15 minutes.
- No import of existing deals when you connect.
- After sending, Flino no longer takes over product changes.
- EUR, USD, and CHF only.
- The Pipedrive history (notes, activities, emails) does not reach Flino yet.
- One Pipedrive connection per Flino workspace.
