Queue: every follow-up at a glance
Under Queue (page title Follow-up queue) you see every sequence that is running, paused or completed on an offer of your organisation. This is where you see what Flino sends next and where you should step in. How sequences are built and started is described under Follow-up sequences.
At the top of the page
Section titled “At the top of the page”Below the title are the fixed sending rules: “Stops automatically on customer reply”, “Sending only Mon–Fri 09:00–11:00 (Europe/Berlin)” and “Weekends & holidays are skipped”.
If no mailbox is connected, the note “Your follow-ups are ready.” appears with the button Connect mailbox. Active follow-ups then show Paused (mailbox missing) until you connect Gmail or Outlook.
System status
Section titled “System status”The collapsible System status area sums up the state of the automation:
- Scheduler: when sending last ran and with how many errors. If the last run was more than 45 minutes ago, it says “Looks like it hasn’t run in a while”. Below that, the next scheduled send (Berlin time) or “No follow-ups scheduled for today.”
- Gmail: whether your mailbox is connected, with the address. The area also reflects an Outlook connection. Without a connection, Connect → takes you to the settings.
- Automation: emails sent, replies and reply rate for the last 7 days, the number of active and paused follow-ups, completed ones for the last 30 days, and errors for the last 7 days.
- Top blockers: the up to three most frequent pause reasons with their count. A click filters the list to that reason.
Business impact (30d)
Section titled “Business impact (30d)”The Business impact (30d) box counts the offers won in the last 30 days and shows how many of them had a sequence before the win (With sequence before win), as a count and as revenue. Revenue is only summed in euros; if there are offers in other currencies, it says “Other currencies present (not summed).”
The list
Section titled “The list”The tabs Active, Paused, Completed and All each show their count in brackets. Every entry contains:
- contact, company and a status badge
- offer title and offer number
- the sequence name (archived sequences with the suffix “(archived)”) and Step X of Y with the step’s subject
- a line for the last 7 days of this sequence. With at least 5 emails sent and a reply rate below 5 %, it is shown in red with the suffix “Low reply”.
- for active follow-ups, the next step (“Next: [subject] (in X days)”) or “Last step of the sequence”, the send time and the note “Will be sent automatically in today’s send window.” or “Scheduled for the next allowed business slot.”
- for paused follow-ups, the reason, e.g. “Reason: Customer replied”. The pause reasons are explained under Follow-up sequences. Some reasons come with a link below: Connect mailbox, Add data (opens the offer) or Review sequence (opens Sequences).
- for completed follow-ups, why they ended, e.g. “All steps sent”, “Offer won” or “Offer expired”
Actions
Section titled “Actions”| Action | When visible | What happens |
|---|---|---|
| Not today | Active follow-ups due to send today | Moves the send by one day to the next valid slot. Toast “Postponed to [date]”. |
| Pause | Active follow-ups | Pauses the sequence with the reason Paused by you. |
| Resume | Paused follow-ups | Schedules the pending step for the next valid send slot. Toast “Sequence resumed”. If the recipient has unsubscribed, the button is disabled. |
| Offer | Always | Opens the offer page. |
Filters
Section titled “Filters”On the Sequences page, Follow-ups on a sequence card opens the queue filtered to that sequence. Clicking an entry under Top blockers filters by a pause reason. The active filter appears as a chip above the list (“Filter: [sequence] — X matches” or “Reason: …”); the ✕ in the chip removes it. Because the tabs filter as well, the note “Filter active — tabs may hide matches.” reminds you that a match may only show up under All.
Common error cases
Section titled “Common error cases”| Problem | Fix |
|---|---|
| ”No scheduled follow-ups” | Start a sequence on an offer, see Follow-up sequences |
| ”This tab has no matches.” with a sequence filter active | Show all switches to the All tab |
| Resume is disabled | The recipient has unsubscribed; the sequence cannot be resumed |
| Reason: Mailbox not connected | Reconnect the mailbox under Settings → Email, then resume |
| Reason: Information missing | Complete Sender & Imprint under Settings → Organisation, then resume |
