Connect Gmail and your Google account

Flino sends every email through your own Gmail mailbox. Incoming replies are read directly from this mailbox. Without a connected mailbox, Flino cannot send emails or detect replies.

Where to set up the connection

1. Go to Settings → Email.
2. At the top, in the Gmail mailbox section, you see the current status:
   • Connected: everything works
   • Renewal required: the permission needs to be refreshed
   • Not connected: you still need to connect

Connect

1. Click Connect Gmail mailbox.
2. You are redirected to Google. Pick the account you want to use and grant permission. The consent covers Gmail, Google Drive, and Google Calendar.
3. You land back in Flino. The status changes to Connected and you see the toast “Gmail connected — Flino can now send emails on your behalf.”

If a Microsoft 365 mailbox is already connected

Flino always sends new offers through exactly one mailbox. If Microsoft 365 is already active, Flino first asks after you click Connect Gmail mailbox: “Send via Gmail from now on?” The dialog shows what changes:

• New offers are sent via Gmail.
• Offers already sent stay on Outlook 365. Their follow-ups and reply detection keep working there.
• If you disconnect Outlook 365 later, the sequences still running through it stop, and replies to them are no longer detected.

Yes, use Gmail continues to Google, Cancel leaves everything as it is. Without this confirmation, Flino does not connect a second mailbox.

What Flino does with Gmail

• Send emails on your behalf (first email, follow-ups, replies, test email)
• Read incoming replies, classify them, and assign them to the right offer
• Pause an active sequence automatically as soon as a customer reply comes in
• Show emails you label “Flino” in Gmail in the inbox for assignment

What Flino does not do with Gmail

• Delete emails
• Read or analyse emails outside the Flino context
• Send spam, you control which sequences are active

Send a test email

Once Gmail is connected, you can send a test email to any address under Send test email in the same section to verify everything works. Your own address is prefilled.

1. Type the email address.
2. Click Send.
3. Toast “Test email sent successfully!”

Disconnect

If you want to detach Flino from your mailbox:

1. In the Gmail mailbox section, click Disconnect.
2. Confirmation dialog “Disconnect Gmail?”: click Disconnect.

After disconnecting, no emails can be sent through this mailbox. When the next email of a running sequence is due, Flino pauses the sequence with the reason “Mailbox not connected”. Once you have reconnected, resume it on the offer page with Resume.

Permission expired

If the status shows Renewal required, click Reconnect Gmail and run through the OAuth flow again. Common causes:

• You revoked the permission manually in your Google account.
• You changed your password or a 2FA setting.
• A long inactivity period let the token expire.

Google Calendar

The Gmail connection requests the calendar permission in the same Google consent. You see its status under Settings → Integrations on the Google Calendar card.

What Flino does with calendar:

• Check availability (free/busy): Flino only sees whether time is free or busy
• Create events: when a meeting is detected in a customer reply, you can add it to your calendar with one click

Event details are neither stored nor read, Flino only sees free/busy slots.
