Create and send your first offer
This walkthrough shows the fastest path from sign-in to a sent offer with an active follow-up sequence.
Prerequisites
Section titled “Prerequisites”- Onboarding completed
- Gmail connected (otherwise sending is not possible)
Step 1 — Create the offer
Section titled “Step 1 — Create the offer”You have two paths — both lead to the same result.
Manually
Section titled “Manually”- Click Offers in the left navigation → Create offer.
- Required: Offer title, e.g. “Website redesign for Mustermann GmbH”.
- Pick the Company (or create one inline via + New company).
- Pick the Contact (or create a new one — first name, last name, ideally an email address).
- Optional fields: offer number, amount, valid until, pipeline status (default: “Open”), description.
- Click Save.
You land on the detail page of your new offer.
Upload a PDF (with AI data extraction)
Section titled “Upload a PDF (with AI data extraction)”- On Offers, click Import PDFs.
- Drag your PDF into the drop zone or pick it from disk.
- Click Start import.
- Flino analyses the PDF and extracts title, amount, valid-until date, and customer data — you watch the status change from “Analysing…” to “Ready”.
- Click Review.
- Correct any field flagged with a confidence badge of Review or Uncertain.
- Click Create offer.

Step 2 — Send the offer
Section titled “Step 2 — Send the offer”On the detail page of the offer:
- Make sure the contact has an email address — otherwise Flino opens the dialog Email address required so you can add it.
- Make sure a salutation is set (Mr / Ms / Neutral) — otherwise the dialog Salutation missing opens.
- Click Send offer.
- Flino shows you a pre-filled standard text for subject and body, optionally with the acceptance link and a PDF attachment.
- Optional: click Suggest AI text in the composer if you don’t want to write it yourself. Flino then writes a sales-optimised draft that pulls in the offer context — scope of work, prior emails with the customer, logged calls. The AI draft replaces the standard text in the editor; you can keep editing.
- Edit subject and body as needed.
- Click Send.
Toast “Offer sent successfully!” — the send badge changes to Sent, and the send date is recorded.
Step 3 — Activate a follow-up sequence
Section titled “Step 3 — Activate a follow-up sequence”Right after sending, Flino shows you the Follow-up automation area:
- Pick a sequence from the dropdown (or go to Sequences and create one).
- Look at the preview of the steps.
- Click Activate.
Toast “Sequence active — next email on [date]”. The sequence pauses automatically as soon as your customer replies.
Send window: Mon–Fri, 9am–11am Berlin time. Weekends and German public holidays are skipped.
Step 4 — What happens now?
Section titled “Step 4 — What happens now?”- If the customer replies by email: the sequence pauses with reason “Customer reply received”. You see the reply in the activity timeline and respond manually.
- If the customer responds through the acceptance link (binding accept / decline): the status switches automatically to Won or Lost, and the sequence ends.
- No reaction: the sequence keeps running until all steps are sent or you stop it manually.
In the pipeline you can see at any time which offers are open and which action is recommended next.
